Condominium
Management Services
Empire Management provides condominium management services to communities across the Eastern United States, Texas, and Oklahoma.
In most condominium communities, the association and unit owners share responsibilities. Depending on the governing documents, the association may be responsible for common-area maintenance, utilities, shared services, maintenance obligations, insurance costs, and other expenses that affect multiple unit owners.
Empire Management handles the daily tasks associated with these responsibilities while supporting the board and unit owners.
Empire Management can coordinate common-area and shared-service responsibilities as well as board and annual meeting preparations.
Each condominium community is unique. Empire Management starts by determining which responsibilities fall within the condominium association’s purview, then builds our management process around those responsibilities.
What is Condominium
Management?
Condominium management is the day-to-day operation of a condominium association.
Shared responsibilities between the condominium association and unit owners vary by governing documents. Professional management helps organize and oversee those responsibilities while giving unit owners a single point of contact for association-related issues.
A condominium management company may perform many functions, including:
Collecting assessments
Preparing budgets
Keeping records
Coordinating vendors and utilities
Communicating with unit owners
Supporting board meetings
Administering the governing documents
Managing any onsite staff
Securing the appropriate insurance coverage
Maintain association records
Administer covenants and rules
Respond to architectural requests where applicable
Coordinate committee activities
Assist with policy and procedure development
Assist during developer turnover and transition
Shared Responsibilities, Clearly Defined
An essential part of condominium association management is administering the property, services, and maintenance obligations that benefit multiple unit owners.
The governing documents define the condominium association’s and unit owners’ responsibilities.
Empire Management uses the governing documents as the basis for administering recurring responsibilities and developing procedures around those responsibilities.
When necessary, we coordinate with association counsel if an issue requires legal interpretation or clarification.
Day-to-Day Management, Taken Care Of
Administrative support for your board
Board members who volunteer their time to govern their condominium communities do not necessarily need to perform every administrative duty themselves.
Empire Management supports boards by maintaining records, preparing for meetings, responding to owner inquiries, communicating with unit owners, coordinating committees, and assisting with agendas, meeting notices, minutes, and other administrative responsibilities.
We can also support board actions by handling the administrative work associated with carrying out those decisions.
Governing documents and consistent procedures
The governing documents define the rules, responsibilities, and procedures that apply within a condominium community.
Empire Management uses those documents to administer association procedures consistently and address recurring owner questions as they arise.
If an issue requires legal interpretation or clarification, we coordinate with association counsel as needed.
Support for developer-controlled communities
Empire Management also works with developer-controlled condominium associations at varying stages of development.
When we begin working with a developer-controlled association, we collaborate with the developer to establish how recurring association matters should be processed and administered.
Once those processes are established, Empire Management can handle much of the routine administrative work without repeatedly consulting the developer.
In turn, unit owners have a designated point of contact for association-related matters instead of relying solely on the development team.
As development progresses, responsibilities and expenses associated with common property may transfer from the developer to the condominium association. Empire Management can adjust budgets, coordinate vendors and utilities, and take on additional association responsibilities as those responsibilities change.
Preparing for developer turnover
The governing documents establish when control of the association transfers from the developer to the unit owners.
That trigger may be based on a specific period of time, a sales threshold, or another event referenced in the governing documents. Empire Management monitors progress toward those triggers so planning can begin before the transfer is required.
Our turnover work can include:
- ✓Finding candidates for board positions
- ✓Distributing meeting notices
- ✓Participating in turnover meetings
- ✓Completing administrative work associated with the transfer
Management Built Around Your Community
Vendor and service coordination
Many condominium associations rely on third-party vendors and service providers for responsibilities affecting multiple unit owners.
When the condominium association needs landscaping, utilities, maintenance, or another community-based service, Empire Management can request bids from potential vendors and providers, review proposals with the board, and coordinate the selected provider.
The board retains final decision-making authority regarding services that benefit the community, while Empire Management performs much of the day-to-day administrative work associated with those services.
Budgeting and assessment collection
A condominium association’s budget should reflect the expenses the association must pay.
Depending on the nature of the condominium community, assessments collected by the association may be used to fund:
Empire Management prepares budgets using estimated operating expenses and presents those budgets to the board for review and approval.
Additionally, we collect assessments from unit owners and provide established methods for payment processing and questions regarding owner accounts. Should an account become delinquent, Empire Management follows the association’s established collection procedures.
If we manage a condominium community with an existing budget, we use that budget as a starting point. Conversely, if a developing community does not yet have a budget, we can work with the developer to create one based on projected expenses and responsibilities.
A clear point of contact for owners
Owners should not need to contact multiple board members with routine questions concerning their association.
Empire Management provides a single point of contact for owner questions relating to association matters.
If an owner question requires input from the board, developer, association counsel, or another professional, we ensure that it reaches the correct party.
